Job Responsibilities:
This is a highly responsible position that will provide office support on an as needed basis at the Adult Crisis Stabilization Unit (ACSU), Children’s Crisis Stabilization Crisis Stabilization Unit/Juvenile Addiction Receiving Facility (CCSU/JARF), Emergency Services (ES) units/programs.

Duties and Responsibilities:

1. Routinely responsible for completing equipment requests using building maintenance request ticket system. 

2. Regularly completes monthly productivity reports and report differences in assigned productivity in a timely and accurate manner.

3. Dependably answers phones in a responsible, courteous manner and directs calls accurately. 

4. Respectfully greets guests, staff and patients at the door.

5. Communicates effectively with patients and staff. 

6. Routinely demonstrates a strong knowledge of services offered within the program/facility 

7. Effectively provides administrative support to program directors, coordinators and clinical staff

8. Successfully maintains open communication with staff and administration.

9. Routinely assists clinical staff with typing, filing, and mailing correspondence within agency

10. Effectively update, complete and email daily census reports in a timely manner for assigned doctors. 

11. Effectively update, complete and process bed day billing reports on a daily, weekly and monthly basis.

12. Monitor and maintain proper amount of forms ensuring that the updated versions are used.

13. Reliably operates as primary staff person responsible for auditing client charts on a daily basis.

14. Operate as staff responsible for supplying the unit galleys and office supplies as needed.

15. Assist with maintaining and updating policy and procedures in a timely fashion.

16. Monitor and order all supplies and assist with managing purchase request.

17. Route incoming and outgoing mail, faxes, and dictations.

18. Prepare and file legal documents, as needed. 

19. Effectively promotes an overall professional presentation to co-workers, patients, and patients collateral sources. Conducts self in professional and ethical manner with co-workers and patients.  

20. Routinely willing to assist supervisors and co-workers.    

21. Consistently assumes additional responsibilities and is capable of handling difficult situations with a minimum of conflict.   

22. Routinely demonstrates good attendance and reliability by doing the following: consistently reports to work on time and reliable work performance when scheduled.          Displays a willingness to work PRN when called. 
23. Regularly utilizes staff training opportunities to enhance skills needed for delivery of patient services.  Obtains a minimum 16 hours of training per year and         attends all mandatory training.  
24. Effectively attains and maintains competency with agency electronic health record and use it effectively within required time frames.

25. Regularly demonstrates a sound understanding of and a commitment to complying with CARF standards for the Acute Care and Residential programs.

26. Consistently displays cultural competence and sensitivity and ensures services provided incorporate patient-specific cultural values.

27. Actively able to accurately maintain patient/nurses census.

28. Continuously responsible for preparing and updating the daily and nursing census.

29. Successfully performs other related duties as assigned by supervisor.  

Job Qualifications:

Requires a H.S. diploma or equivalent.  One year clerical experience in an office or medical setting required. Requires the ability to communicate in writing and verbally. Ability to use MS Word, Excel and Outlook effectively. Must be able to effectively multi-task. Excellent communication skills (verbal, written) required. Must be able to attain/maintain competency with agency electronic health record and use it effectively within required time frames. Knowledge of co-occurring disorders in order to best serve our population of patients preferred.
