Support Specialist III

Job Responsibilities:
Assist with program support for the Children’s Therapy Services and the Community Family Response Team Departments. Monitor and order supplies. Collect data and enter into spreadsheets tracking patient information. Run weekly and monthly reports for program outcomes and productivity. Verify insurance coverage and coordinate with utilization management as needed. Coordinate peer reviews. Must exercise independent judgment and demonstrate specific departmental knowledge as well as general agency knowledge.

1. Responsible clerical/administrative position that consistently assists in the development of a consistent flow of patients and data in the SalusCare service delivery system.

2. Responsible for communicating with other support specialists the needs of the patients and flow of services.

3. Independently collaborates with the managers and directors regarding areas in need of improvement, maintains regular communication, makes recommendations and follows through with assignments.

4. Consistently serves as liaison between staff and stakeholders.  Consistently demonstrates patience and excellent follow through in this type of communication.

5. Effectively provides conflict resolution to both staff and individuals served.

6. Routinely greets customers (in person and by telephone) and assists them utilizing excellent customer service skills.

7. Reliably assists staff as needed.

8. Consistently submits reports on a timely basis.

9. Consistently assists with satisfaction data collection via the client satisfaction survey and other requested surveys.

10. Reliably checks voicemail at least twice daily and returns all voice messages within 24 hours and follows-up accordingly.

11. Reliably enter data into the electronic health record and Share Point.

12. Reliably checks e-mail at least twice daily and follows up on all needed actions within 24 hours and follows-up accordingly.

13. Verify insurance coverage and coordinate with utilization management.

14. Demonstrates cultural sensitivity and ensures that staff incorporate cultural issues throughout care i.e. assessment, service planning, service delivery, and discharge.

15. Routinely demonstrates a sound understanding of and commitment to complying with CARF and other regulatory standards for the CTS and CFRT Department.

16. Attains competence with Electronic Health Record software and uses it effectively within required time frame.

17. Proficient in Microsoft Word to create and maintain requested documents.

18. Operates as a back-up to alternate department(s) when requested.

19. Reliably presents at the appropriate location as requested.

20. Serves as a resource about SalusCare for visitors seeking a staff person or location.

21. Consistently keeps work area neat and organized.

22. Consistently maintains compliance with staff development training.

23. Obtains additional training as requested/required independently by supervisor.

24. Maintains compliance with confidentiality and HIPAA standards.

25. Regularly attends meetings as requested by supervisor.

26. Reliable and accurately takes minutes for program meetings and other committees as designated by supervisor. 

27. Successfully completes other duties as assigned by supervisor.

Job Qualifications:
  • HS Diploma or equivalent required.
  • One (1) year or more prior office experience required. 
  • Must type 25 words per minute.
  • Capable of doing general clerical work that includes but is not limited to: filing, copying, typing, data entry, faxing, routing mail, taking and delivering a detailed message, and tracking data.
  • The ability to do Word Processing on a PC and to save and retrieve information.
  • Experience working in an office environment with patient contact.
  • Must be able to attain competence with Electronic Health Record software and use it effectively within required time frame.
  • Bilingual (English/Spanish) a plus.
