Job Responsibilities:
Responsible clerical/administrative position that consistently assists in the development of a consistent flow of patients and data in the SalusCare service delivery system. Must exercise independent judgment and demonstrate specific departmental knowledge as well as general agency knowledge.
1. Effectively communicates with other support specialists the needs of the patients and flow of services.
2. Independently collaborates with the manager and director regarding areas in need of improvement, maintains regular communication, makes recommendations and follows through with assignments.
3. Consistently serves as liaison between staff and stakeholders. Consistently demonstrates patience and excellent follow through in this type of communication.
4. Effectively provides conflict resolution to both staff and individuals served.
5. Respectfully greets customers (in person and by telephone) and assists them utilizing excellent customer service skills.
6. Reliably assists Outpatient Therapy and other agency staff as needed.
7. Accurately and timely generates reports as requested.
8. Consistently assists with satisfaction data collection via the client satisfaction survey and other requested surveys.
9. Routinely checks voicemail at least twice daily and returns all voice messages within 24 hours and follows-up accordingly.
10. Promptly and thoroughly processes request for information in a professional, respectful, and timely manner.
11. Maintains the highest standards of confidentiality when responding to requests, and complies with agency procedures and legal requirements for release of information, including HIPAA. This includes requests received via walk-in, phone, mail, email, or fax, while providing excellent customer service.
12. Scans patient information into the electronic record system in a consistent, timely, and accurate manner.
13. Reliably creates and updates group shells in electronic records system as requested by providers to provide accurate information for billing and group scheduling.
14. Promptly completes requests to mail letters to patients regarding services and scheduling.
15. Demonstrates and models attitudes and knowledge consistent with co-occurring best-practice standards.
16. Demonstrates cultural sensitivity and ensures that staff incorporate cultural issues throughout care i.e. assessment, service planning, service delivery, and discharge.
17. Routinely demonstrates a sound understanding of and commitment to complying with CARF and other regulatory standards for the Outpatient Therapy Programs.
18. Attains competence with electronic health record software and uses it effectively within required time frame.
19. Skillfully uses Microsoft Word, Excel, and PowerPoint to create and maintain requested documents.
20. Reliably presents at the appropriate location as requested.
21. Effectively serves as a resource about SalusCare for visitors seeking a staff person or location.
22. Continuously keeps work area neat and organized.
23. Consistently maintains compliance with staff development training.
24. Obtains additional training as requested/required independently by supervisor.
25. Maintains compliance with confidentiality and HIPAA standards.
26. Regularly attends meetings as requested by supervisor.
27. Successfully completes other related duties as assigned by Supervisor.
Job Qualifications:
High School Diploma or equivalent required. (1) one year or more prior office experience required. Experience effectively using MS Word to create and maintain requested documents. Must attain competence with the company electronic health record software and uses it effectively within required time frame. Bilingual (English/Spanish) a plus.
